Which figures answer your business question?
A useful reporting pack connects a specific management question with records that can support the answer.
| Question | Report or measure | Check the definition |
|---|---|---|
| Are we making money on each sale? | Gross margin by product, project or service. | Allocate direct costs consistently and distinguish margin from a cash balance. |
| Why is profit different from available cash? | Cash movements alongside receivables, payables and stock changes. | Show unpaid sales and bills, loan movements and capital spending. |
| Are we ahead of the plan? | Actual results against budget with an explanation of material differences. | Use the same period, account mapping and treatment of one-off items. |
| Which work or stock needs attention? | Project profitability, unbilled work or inventory ageing. | Reconcile operational reports to the ledger and identify estimates. |
Management measures should have consistent definitions; they do not replace required financial statements or tax returns.
The engagement can establish a new reporting pack or improve an existing one, with agreed measures, sources and reporting dates.
Choose measures that reflect how the business works
We begin with the decisions management needs to make. A trading business may need margin by product and stock ageing; a service business may need project profitability and unbilled work. The pack can combine financial statements, cash information, budget comparisons and selected operating measures. Each measure has a definition and source. Revenue, bookings, invoicing and cash collection should not be used interchangeably simply because they appear on the same dashboard.
Reconcile the numbers before explaining them
We check the relationship between the management pack, accounting ledger and operational schedules. Allocations, one-off items and estimates are identified so users understand what is included. Variance commentary explains both the size of a movement and the question it raises. Where records are incomplete, we state the limitation and the action needed. A separate accounting cleanup may be necessary before repeated reporting can become dependable.
Connect reporting with ownership and follow-up
The review meeting should end with actions and responsible people, not another set of unexplained charts. We can maintain a decision and action register, develop a consistent comparison period and refine the pack as priorities change. Management remains responsible for approving budgets, forecasts and operational responses. A reporting engagement does not automatically include strategic CFO advice, tax calculations or an independent audit opinion.
Management reports serve a different purpose from statutory financial statements. Where both use the same accounts, differences in presentation and adjustments should be understood. The FTA accounting standards guide is a reference for the financial statements used for Corporate Tax; a management dashboard does not replace that reporting requirement.
Documents and records to prepare
Tick the records you already have. The final request depends on your entity, the period and the work agreed. Please do not send financial records through this website.

How the work starts
Define the audience
We identify who uses the report, what they need to decide and how often the underlying information can be prepared reliably.
Map the data
We agree measure definitions, ledger mappings and source owners, including the treatment of adjustments, allocations and information that arrives after the reporting cut-off.
Build and test the pack
We prepare a reporting structure and reconcile key totals to source records. Management reviews whether the measures answer the intended questions.
Report and improve
We issue the agreed pack, discuss significant movements and record follow-up actions. Changes to definitions are documented to preserve meaningful comparisons.
What affects the scope and fee?
- Number of entities, departments or business units
- Quality and accessibility of source data
- Frequency and complexity of reporting
- Budgeting, consolidation and allocation requirements
- Dashboard setup and recurring commentary scope
We set out the deliverables, responsibilities and fee in the proposal. Work outside that scope is discussed before it is added.
Management reporting FAQs
What should a monthly management pack contain?
It should contain the information needed for your decisions, rather than every available metric. Common elements include financial results, cash, receivables, payables and comparisons with a budget or prior period. We select additional measures around your business model and define the owner and purpose of each section.
Can you report by branch, project or product?
Yes, if the underlying records support meaningful allocation. We first check how revenue, costs and shared expenses are captured. Where source data is insufficient, we can propose a coding or allocation approach. Management must understand the assumptions so that a reported margin is not mistaken for a directly measured fact.
Will a dashboard update automatically?
Automation depends on the source systems, access and how consistently information is recorded. Some figures can refresh automatically while others need review or adjustment before release. We agree the refresh process and approval point; a live connection does not by itself make a measure complete, accurate or suitable for decision-making.
Are management accounts the same as audited accounts?
No. Management accounts are prepared for internal use and can follow an agreed format and frequency. An external audit is a separate assurance engagement with its own scope, evidence and reporting requirements. Management reporting may help organise information, but it does not provide an independent audit opinion.
Can we keep our current finance team and reporting software?
Yes. We can improve definitions, mappings, reconciliations or commentary while your team continues preparing the source data. We assess the existing software before recommending changes. The engagement identifies who maintains each source, approves adjustments and releases the final report so the process remains workable after setup.
How do you handle late or incomplete data?
We agree a reporting cut-off and distinguish final figures from estimates or provisional information. Material gaps are explained in the pack, with responsibility for resolving them. When later information changes a prior report, the revision should be visible so that management can follow the effect on decisions and comparisons.
